As part of the UCF IT Minimum Safeguards, UCF is actively working to ensure compliance, close gaps, and reinforce the security of IT systems and data. As IT teams make the required modifications, some systems will experience changes in behavior and how they operate.
Delegated Organization Unit and Changes
UCF IT is reorganizing and standardizing devices and device policies. Devices will be moved to a new “Delegated” neighborhood, a managed environment designed to apply the latest required policies to every device. This move can occur through scheduled phases or when a person receives a new device. Not all devices will see immediate changes; Mac and Linux devices are not affected at this time.
The following is a list of changes for UCF IT-managed devices.
Microsoft Windows Devices
UCF-managed devices have the following behavior changes.
- Lock Screen image: Implemented for brand consistency. Units can request an image change through a ServiceNow request.
- OneDrive Sync Desktop App: Only UCF/Valencia accounts can sign into the OneDrive Sync Desktop App. No other accounts can sign in.

- Web Browsers Home Page: Units can submit a ServiceNow request to set a specific home page, like a college’s or division’s website.
- Network Firewall: Firewall rules are configured and applied through UCF IT and cannot be changed by an individual. If a device or application issues a warning about a firewall network blockage, submit a request via ServiceNow for assistance with adding and allowing specific application firewall rules for the device.
- BitLocker: Secondary internal drives and USB drives must be encrypted before accessed. Contact UCF IT Support Center or your IT support for assistance setting up BitLocker and the backup keys.
- Zoom Meetings: Units requiring HIPAA-compliant meetings (such as the College of Medicine) can submit a ServiceNow request for access.
- Google Chrome and Mozilla Firefox: Personal account sign-ins are prohibited on Google Chrome and Mozilla Firefox web browsers. However, you can still access and use services like Google Docs and other web-based applications without signing into the browser application.
- Microsoft 365 Desktop Apps (Excel, Word, PowerPoint): Microsoft 365 Desktop applications limit the opening of older “legacy” files as they are considered unsafe. For example, Word legacy files usually end with “.doc” instead of “.docx” and legacy Excel files typically end with “.xls” instead of “.xlsx”. Legacy file types can be opened in the Microsoft 365 App web versions from OneDrive and then converted to the modern file types using Save as.
- Windows Update: Security, driver, and firmware updates are regularly scheduled with rules specifying update types and timing.
- Remote Desktop: Only desktop (non-portable) devices can have Remote Desktop Protocol enabled. Remote connections are allowed only from UCF-recognized networks (wireless, wired, VPN). When you’re not connected to UCF’s network, you must be signed into UCF’s VPN to connect via remote desktop.
- File Shares: Older mapped network drives might need to be manually recreated.
- Web Navigation and File Downloads in Google Chrome: Google Safe Browsing with enhanced protection is turned on. With this high level of browsing protection, Chrome helps protect against known and potential dangers, like malware, malicious ads, and phishing, by warning you before proceeding.
