  1. Procure PC name and final IP address.
  2. Place Internal Firewall Ticket from workstation to servers:
    1. Workstation to DB server:
      1. Net2792.net.ucf.edu
      2. 172.24.81.196
      3. Ports: 1433, 1434
      4. TCP
  3. You may install the software prior to the tickets being completed, but ProPharm will not work until the workstation has been whitelisted. 
  4. Ensure end-user is in the proper security group: SDES Propharm Users.
  5. Ensure the workstation is configured for access by lab account: LAB_AHSC_SHS_01.
  6. Software is located in MS Teams, UCFTeam-SHS-IT, Files, Pharmacy, Kalos, ProPharm One. CONTACT SPENCER WILLIAMS FOR ACCESS.
  7. Log in or remote into the pharmacy computer.
  8. Open the File Browser
  9. Install 1_SQL-NativeClient without any modifications. This must be installed as Administrator.
  10. Install 2_vcredist_x85.exe. This may not be required by the PC. If not, skip.
  11. Install 3_Propharm_application (current version is 8.6.3.6 (11/2023)) without any modifications. IF YOU CANNOT INSTALL BECAUSE THE APPLICATION IS BLOCKED, RIGHT CLICK THE INSTALLER ICON, GO TO THE GENERAL TAB, AND CLICK THE UNBLOCK CHECKBOX AT THE BOTTOM. 
  12. Using 4_ProPharm AZURE Database Information.txt, configure the database connections.
    1. Run ProConfig as Administrator
    2. Click “New” to add a new connection

    3. Type in the information as directed in the text file.

    4. Click “Connect” to test the database connection. Note: it will only connect if the firewall ticket has been completed and the user is in the SHS ProPharm Users security group.
    5. Repeat the above steps for the MOD pharmacy instance as directed in the text file.
  1. Install 5_2021.05.27-001-UniversityofCentralFlorida without any modifications.

The following services MUST be running on NET2791. 

ProPharm Upgrade/Update Procedures

Preparation

ProPharm updates may be performed with the direct assistance of Kalos, Inc., the developer, if necessary. There are several steps that should be completed before performing any update:

  1. Review all update instructions to determine if anything can be done prior to the update.
  2. If necessary, schedule a date and time (evening) with ProPharm staff for assistance that will work with the pharmacies. 
  3. Prepare the SHS staff for the update:
    1. Confirm the date and time with staff.
    2. Confirm computer names for all affected computers (see Addendum A).
    3. Send instructions for day-of to Hetal Patel, Mary Scroggs, and Spencer Williams.
    4. Reconfirm all prior to installation.
  4. Download all required and/or recommended software and instructions for review. ProPharm will provide a link for this. Put everything in a central location where all computers can access.
  5. Immediately prior to installation, backup two database:
    1. ProPharm (SHS)
    2. PropPharm_UCF2 (MOD)

Day-Of Instructions

At closing time on the day of installation, all pharmacy staff (pharmacy and cashier) will need to:

  1. Log out of everything;
  2. Fully reboot their computer; and
  3. Verify reboot is successful.

It is important that all computers are up with no logins or applications active in order to facilitate the update.

Update Procedure

The update process takes approximately one half to one hour to run on the server. The most time-consuming part of the process is updating each individual workstation, which takes place after the server is complete.

  1. Log into the application server.
  2. Stop all ProPharm services on the server In ProConfig (run as Administrator).
  3. Perform any additional post-signoff – pre-update tasks required by the update.
  4. Install the update using their specific instructions, which generally include:
    1. Run installation program;
    2. Update database:
      1. PROPHARM (Main database); and
      2. PROPHARM_UCF2 (Mod database);
    3. Update configuration; and
    4. Test connectivity.
  5. Once the update is completed (updating both databases as needed), install all the clients. Using the list of computers below, begin the update process.

Log Files 

Log files are useful in troubleshooting errors. Depending on where the error occurs, log files are generated to give more insight.

Known Issues

IVR/Digital Pharmacist Down

Description:        Prescriptions are not flowing properly or are going to fax.

Resolution:   

  1. Login to application server (NET2791).
  2. Run ProConfig as Administrator.
  3. Stop the IVR service and restart it.
  4. If this does not resolve the issue, reboot the IVR server (NET3626).
  5. If this does not resolve the issue, contact Digital Pharmacist.
