Creating and Scheduling a Basic Microsoft Teams Live Event


Create the Calendar Live Event

1. In Teams, go to your Calendar.

2. Select the time on the calendar to create the Live Event.

3. In the new meeting screen, select the down arrow next to “New meeting” and select “New Live Event”.

 

 

 4. Add the Title of the Live Event, confirm the Start and End Time and add a meeting description if necessary. Click Next when the meeting details are established.

 

5. On the “Live event permissions” screen, choose “Public” to allow for non-UCF email address access. Also, scroll down to the “How will you produce your Live Event” to select desired options such as the Q&A. Click Schedule to add the Live Event to your calendar.

 

 

6. Click the “Get attendee link” to obtain the URL that can be sent to potential participants.

 

7. Send the URL to participants for them to connect at the time of the Live Event. The URL will look similar to this below.

Organizer/Presenter Live Event

 1. The organizer/presenter can join the meeting prior to the scheduled Live Event.

 

2. The Live Event will have a Queue screen and a Live Event screen so that content can be added as needed.

 

3. To share content from your machine into the Live Event, click the Share button. Select the application, document or other content that you wish to be displayed in the Live Event.

4.  Once you have the content necessary in the Queue screen, click the Send Live button to move the content to the Live Event.

 

5. When you are ready to start the Live Event, click the Start button on the Live Event screen. Note that during a Live Event there is a delay between the speaker and the attendees as documented in the note below as the Live Event is started.

 

6. Once the Live Event presentation is complete, click the End and then Leave button.

7. Information about the event can be accessed by opening the Calendar Appointment in Teams and viewing the Live Event Resources section.

8. Recordings of the Event can be viewed using the URL.

 

Live Event Participants

1. Participants can click on the URL at the time the Live Event is scheduled.

2. The URL will open a browser with several viewing options. Choose “Watch the web instead” for public, non-Teams based viewing.

 

3. Select “Join Anonymously” to view the Live Event via the Browser.
